A POS that doesn't
make your accountant suffer.

Xero is non-negotiable for NZ businesses. Connect your Xero account and SmakSpace syncs paid orders to Xero as invoices automatically — or use the daily and per-period CSV exports of revenue, orders, top items and customer metrics with GST already separated. Per-payment-provider settlement columns, surcharges-by-line and tip columns are on our near-term roadmap.

In one paragraph

SmakSpace is New Zealand-built restaurant ordering, bookings and loyalty software designed for Xero-friendly accounting. Native Xero invoice sync is built in — connect your Xero account and paid orders sync to Xero as invoices automatically. Daily and per-period CSV exports are also available, covering revenue, orders, top items and customer metrics with GST and tax already separated — your bookkeeper or accountant imports the CSV into Xero. Per-payment-provider settlement columns, surcharges-by-line and tip columns are on our near-term roadmap.

How to integrate your POS with Xero in New Zealand

  1. Confirm your POS supports Xero (most NZ-friendly POS do).
  2. In Xero, create the sales accounts you'll map to (e.g. Food, Beverage, GST).
  3. Pull a daily CSV export from your POS at end-of-day, mapped to those accounts.
  4. Import the CSV into Xero as a manual journal, or pipe it through your bookkeeper's preferred journal-import tool.
  5. Reconcile the daily bank deposit from your in-store EFTPOS provider (Smartpay, Worldline, Verifone or Windcave) against the daily revenue total on the same export. Per-provider breakdown columns are on our roadmap.
What the Xero-ready export actually contains

A six-piece NZ-accounting handshake.

NZ GST-correct exports

Daily and per-period CSV exports surface revenue, orders, top items and customer metrics with tax collected separated. Drop the CSV into Xero's manual journal or hand it to your bookkeeper for journal-import.

EFTPOS settlement columns

On our roadmap: card totals broken down by payment provider for each settlement window, so the daily bank deposit reconciles in one click. Today the exports surface daily totals; per-provider breakdowns ship soon.

Surcharge handling

On our roadmap: card surcharges reported in their own column (not buried in revenue). Helpful for NZ Consumer Guarantees Act considerations and for understanding actual margin.

Tip column

On our roadmap: tips in their own column on every export, ready to map to a liability account in Xero. Critical if you process payroll-side tip distributions.

Refund handling

Refunds are tracked as their own order status. Audit trail is preserved through the orders export, with refund counts in the summary.

Per-location exports

Multi-location operators get a separate CSV per place (use the `place` query param). Ready to drop into separate Xero tracking categories — or separate Xero files if your locations are legally separate entities.

Xero workflow FAQ

Real questions from NZ accountants.

Yes — two ways. Connect your Xero account in SmakSpace and paid orders sync to Xero as invoices automatically. Or use the GST-correct CSV exports: pull a daily, weekly or per-period export from SmakSpace and import it into Xero as a manual journal, or pipe it into Xero through your bookkeeper's preferred journal-import tool.
The revenue export surfaces tax collected for the period as a summary row, ready to map to your Xero GST account. Per-line GST splits (for venues running mixed standard-rated and zero-rated items) are on our roadmap.
Today the daily revenue export gives you total card transactions per day, which reconciles against a single-provider bank deposit. Per-payment-provider settlement columns (so multi-provider venues can match deposits without manual splitting) are on our near-term roadmap.
Through the CSV export for now. It's generic enough to import into MYOB and any other accounting package that takes journal-style imports. A direct MYOB connection is not live yet.
No. You — or whoever closes the books — pulls the CSV export and hands it to your accountant the same way you do with bank statements. If they want a SmakSpace login for deeper drill-downs, you can grant a read-only role.
Each location produces its own daily CSV export. You can map each location to a separate Xero tracking category (or to a separate Xero file if your locations are legally separate entities). Multi-location operators get clean per-location P&L without manual journal splits.
Yes. Refunds and credit notes appear as negative-revenue lines in the same export, with the original transaction ID for full audit trail. The reconciled bank-side will show both the original deposit and the refund.
Yes — it's live. Connect your Xero account in the SmakSpace admin panel and paid orders sync to Xero as invoices automatically, with retry tracking if a sync fails. The CSV workflow hasn't gone anywhere either: most NZ bookkeepers we've spoken to prefer reviewing the daily journal before it lands in Xero anyway, and both lanes can run side by side.
